Wild Frontiers have an exciting opportunity for a Client Support Executive to join their London based team. The Executive will report directly to the Head of Client Support and be part of the customer focused team providing excellent service to Wild Frontiers clients travelling on premium group and tailor-made tours.

Wild Frontiers is a privately owned, award-winning adventure travel company, founded in 2002 by travel writer Jonny Bealby. With offices in Gunnersbury, West London and the USA, they specialise in providing stylish and original small group tours and tailor-made holidays worldwide.

Main Job Function:

  • Answering and filtering calls and emails from clients, providing excellent customer service
  • Obtaining letters of invitation, visa authorisation codes or any other documentation required by the client for them to be apply for any required visa for both Group Tour and FIT clients
  • Processing client booking forms for Group Tour clients within designated response times
  • Taking client payments and issuing receipts and invoices.
  • Chasing final balances and passenger information
  • Issuing and Ticketing Group Tour Flights
  • Processing booking cancellations
  • Emailing client Group Tour and FIT tour and extension confirmation invoices and itineraries
  • Preparing FIT client travel documentation to post or email to clients
  • Preparing Group Tour client travel documentation to post or email to clients
  • Making sure any pre and post tour confirmations are included in travel documents
  • Checking and quality controlling travel documents and final itineraries before they are sent to the client
  • Managing the company post and processing brochures requests
  • General Office admin

 

Other

  • Representing the company at trade shows, slide shows and events; such as WTM and AITO
  • Participating in training events and overseas FAM trips
  • Contributing and assisting in other areas of the company as required

  • Excellent Telephone manner
  • Excellent organisation/communication/numerical/interpersonal skills
  • Good presentation, clean and tidy
  • Computer Literate (Microsoft office, Excel)
  • Ability to deal with clients and agents face to face
  • Understanding of what the adventure/cultural traveller wants to experience
  • Experience in an office-based environment an advantage

Working hours

Monday to Friday 9:00am to 5:30pm or 09:30am to 6:00pm but flexibility required. Executives will be expected to work on a later shift - from 11.30am to 8pm - a maximum of 5 days per month.  Also, be required to participate in the office Saturday rota with a maximum of 5 Saturdays a year.

 

Occasionally you will have to attend trade shows and functions as required, approximately 10 working days may be spent overseas.
